This policy explains how Optimanova Solutions S.L. processes personal data through this website in accordance with Regulation (EU) 2016/679 (GDPR) and applicable Spanish law.
1. Data controller

2. Data we process
- Contact enquiries: name, email address, company, optional telephone number, message and technical anti-abuse data.
- Job applications: name, email address, message, CV, position applied for and technical anti-abuse data.
- Website analytics: anonymised and aggregated usage information collected through cookieless, self-hosted Matomo analytics.
- Security logs: limited connection and security information needed to protect the website and investigate abuse.
Please do not submit unnecessary special-category data in a message or CV.
3. Purposes and legal bases
- Responding to enquiries and preparing requested services: steps taken at your request before entering a contract and, where applicable, your consent.
- Managing recruitment and applications: steps taken at your request and your consent to process the information supplied.
- Securing forms and infrastructure: Optimanova's legitimate interest in preventing fraud, spam and attacks.
- Improving the website through privacy-friendly aggregate analytics: Optimanova's legitimate interest in understanding and improving its services.
- Meeting accounting, tax, employment or other legal obligations where applicable.
We do not use website form data for advertising profiles or sell personal data.
4. Recipients and service providers
Access is limited to authorised Optimanova personnel and service providers needed to operate the website and communications. These may include European hosting providers, Cloudflare for CDN, security and Turnstile verification, and Google Workspace for email delivery. Public authorities may receive information where required by law.
Where a provider processes data outside the European Economic Area, Optimanova relies on an applicable adequacy decision or safeguards such as the European Commission's Standard Contractual Clauses.
5. Retention
- Contact enquiries are kept for the time needed to respond and manage any resulting relationship, and may then be retained in a restricted form for applicable limitation periods.
- Unsuccessful job applications are kept for no longer than two years, unless a shorter period is requested or a different legal duty applies.
- Analytics data is scheduled for deletion after 26 months.
- Records subject to legal retention duties are kept for the period required by the relevant law.
6. Your rights
You may request access, rectification, erasure, restriction, portability or object to processing, and you may withdraw consent without affecting earlier lawful processing. Send your request to [email protected]. We may ask for information needed to verify your identity.
You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD).
7. Security, minors and changes
Optimanova applies proportionate technical and organisational measures to protect personal data. This website is not directed at children, and minors should not send personal data through its forms. We may update this policy when services or legal requirements change; the update date is shown at the top.
